About the project

Leo's Coney Island has been serving communities across Michigan since 2007, with locations in White Lake, Waterford, and Highland. As the restaurant group grew to 73+ employees across three locations, onboarding new staff with paper forms, scattered spreadsheets, and in-person document collection became a bottleneck that slowed down hiring and created compliance headaches.

We built a custom employee onboarding platform that lets new hires complete their entire onboarding process from their phone in about 15 minutes. The system collects personal information, verifies age and work permits, gathers banking details for direct deposit, handles document uploads, and captures electronic signatures — all encrypted and transmitted securely in compliance with federal and state employment regulations.

On the admin side, restaurant management gets a centralized dashboard with real-time visibility into onboarding status across all three locations, an employee directory with search and filtering, and location-based administration tools. The platform replaced a manual process that used to take days of back-and-forth with a streamlined digital workflow that gets new staff ready to work faster.

What we built

A Welcome Experience That Gets Staff Started Fast

The employee portal opens with a split-screen landing: on the left, a dark card with the Leo's Coney Island logo, a warm welcome message, and two clear actions — "Start Onboarding" for new hires and "Admin Login" for management. On the right, a photo of two smiling staff members in branded Leo's aprons sets the tone — this isn't a bureaucratic form, it's an invitation to join the team.

A "Done in 15 Minutes" badge at the bottom tells new hires exactly what to expect: a quick, phone-friendly process they can complete from anywhere. Once they tap Start Onboarding, they land on a step-by-step welcome page that lists everything they'll need — personal ID, Social Security Number, bank account details for direct deposit, and availability for electronic signatures — so there are no surprises mid-flow.

Admin Dashboard with Real-Time Operations View

The admin dashboard gives restaurant management a centralized command center for all onboarding activity across locations. Four KPI cards across the top show Total Employees (73, with +12 this quarter), Locations (3 across Michigan), Pending Review (9, flagged for attention), and Years Serving (19, since 2007).

Below the KPIs, a Recent Onboarding Activity table tracks each new hire's progress by name, location, status, and date — with color-coded status badges for Complete, Pending Review, and Needs Correction. A Quick Actions panel on the right provides one-tap access to Send New Invite, View Pending Reviews, and Manage Locations. The bottom of the page shows a Locations overview with cards for Waterford (est. 2013), White Lake (est. 2007), and Highland (est. 2021).

Employee Directory Across All Locations

The employee directory provides a searchable, filterable view of every staff member across all three Leo's Coney Island locations. Each row shows the employee's initials avatar, name, email, assigned location, onboarding status, and start date — giving management a complete picture at a glance.

Filter dropdowns for Location (All Locations, Waterford, White Lake, Highland) and Status (All Statuses, Complete, Pending Review, Needs Correction, Draft) let managers quickly drill into specific groups. The status badges are color-coded — green for Complete, yellow for Pending Review, orange for Needs Correction, and gray for Draft — so urgent items stand out immediately. Pagination handles the full roster of 73 employees with 10 per page.

Location Management for Multi-Site Operations

The Locations page gives management a bird's-eye view of onboarding operations across all Leo's Coney Island sites. Each location is displayed as a card showing the location name, establishment year, active employee count, pending onboarding count, and current status — making it easy to spot which locations need attention.

Below the location cards, per-location employee tables list recent hires with their onboarding status and start dates. Waterford (est. 2013) leads with 24 active employees, White Lake (est. 2007) has 31 with 3 pending, and Highland (est. 2021) has 18 with 5 pending. This structure lets management compare onboarding velocity across sites and identify bottlenecks before they impact staffing levels.
